These Terms & Conditions govern all bookings and travel arrangements made with Kikwetu Cultural Adventures Limited (“we”, “our”, “us”). By confirming a booking with us, you agree to the terms outlined below.
1. Booking & Confirmation
- All safari bookings must be confirmed in writing via email or official communication channels
- A deposit is required to secure your booking
- Bookings are only confirmed once payment is received and acknowledged
👉 We recommend booking early, especially for peak seasons (July–October)
2. Payment Terms
- A deposit (typically 30%–50%) is required at the time of booking
- The balance must be paid before the safari start date (usually 30 days prior)
- Payments can be made via bank transfer, card, or other agreed methods
Note: Bank charges and transaction fees are the responsibility of the client unless otherwise agreed.
3. Cancellation Policy
Cancellations must be made in writing.
- More than 40 days before travel: Deposit may be partially refundable (subject to supplier terms)
- 20–40 days before travel: Cancellation fees apply
- Less than 20 days: No refund
Some services (flights, park fees, special lodges) may be non-refundable.
4. Changes & Amendments
- Changes to confirmed bookings are subject to availability
- Additional costs may apply depending on supplier policies
- We will do our best to accommodate reasonable requests
5. Travel Insurance (Highly Recommended)
We strongly recommend that all clients obtain comprehensive travel insurance covering:
- Trip cancellations
- Medical emergencies
- Evacuation
- Loss of personal belongings
6. Passport, Visa & Health Requirements
Clients are responsible for ensuring:
- Valid passport (minimum 6 months validity)
- Required visas for Kenya and other destinations
- Vaccinations and health requirements (e.g., yellow fever if applicable)
7. Liability
Kikwetu Cultural Adventures Limited acts as an intermediary between clients and service providers (lodges, transport, airlines). We are not liable for:
- Delays, cancellations, or changes caused by third parties
- Loss, injury, or damage during travel
- Circumstances beyond our control (force majeure)
8. Force Majeure
We are not responsible for disruptions caused by events beyond our control, including:
- Natural disasters
- Political unrest
- Pandemics
- Weather conditions
In such cases, we will work with clients to reschedule where possible.
9. Pricing & Currency
- Prices are quoted in USD unless otherwise stated
- Prices may change due to factors beyond our control (park fees, fuel, taxes)
- Confirmed bookings will not be affected by price changes
10. Accommodation & Transport
- Accommodation is subject to availability at the time of booking
- Similar alternatives may be provided if necessary
- Transport is arranged based on itinerary (4×4 safari vehicles, flights, etc.)
11. Conduct During Safari
We reserve the right to:
- Refuse service to clients engaging in unsafe or disruptive behavior
- Modify itineraries for safety reasons
Clients are expected to respect local laws, wildlife, and cultural norms.
12. Complaints
Any complaints should be reported immediately during the safari so we can resolve them promptly.
13. Governing Law
These Terms & Conditions are governed by the laws of Kenya, including the Data Protection Act, 2019 (Kenya) where applicable.
